Sports Lifestyle C.I.C. (company number 17449704) is the data controller for this website and supports the activities of Heol-y-Cyw AFC.

Information we use

We may use names, contact details, enquiries, registration or volunteering records, photography and video consent, safeguarding records, and basic technical information about use of the website. Children’s information is collected through a parent, carer or the club’s secure processes.

Why we use it

We use information to answer enquiries, operate club and C.I.C. activities, keep people safe, administer membership, support volunteers and meet legal duties. Depending on the circumstances, our lawful basis may be consent, contract, legitimate interests, legal obligation or vital interests.

Sharing and retention

Information is shared only where needed, for example with the FAW, a league, a trusted service provider or a safeguarding authority. We retain information only for as long as necessary for its purpose and applicable legal requirements.

Your rights

You may ask to access, correct or erase information, or object to or restrict its use in certain circumstances. Contact sportslifestylecic@gmail.com. You may also complain to the Information Commissioner’s Office.

Complaints Procedure

1. Try to resolve a routine matter calmly and privately with the relevant coach or officer.
2. If it remains unresolved, send a written complaint with the facts, dates and the outcome you are seeking to hycafc@gmail.com for a club matter or sportslifestylecic@gmail.com for a C.I.C. matter.
3. We aim to acknowledge a complaint within 5 working days and respond within 20 working days. We will provide an update if more time is required.
4. If you remain dissatisfied, you may request a review by the Chair or a committee member who was not involved in the original decision.

Website Terms of Use

• Login details must be kept secure. Children’s media in protected areas must not be downloaded or shared.
• Logos, text, plans and resources belong to their respective owners and must not be reused without permission.
• Third-party links are provided for convenience; we do not control their content or privacy practices.
• We may change, suspend or remove content or access to keep the service safe and current.

Separate terms for any paid membership or service will be published before payments are accepted. These terms are governed by the law of England and Wales.
